When you request a quote, contact Roma Limo Services or submit an agency registration, we may collect the information you provide, including your name, email address, telephone or WhatsApp number, company or agency details, website, professional credentials, markets served, expected service volume, travel details, pickup and destination information, and any message you send.

How we use your information

We use this information to answer your request, prepare and manage transportation quotations and reservations, review professional agency applications, decide whether to issue confidential net rates or operating terms, provide customer assistance, coordinate services with authorized transportation operators, and meet applicable legal or administrative requirements.

Agency registrations and confidential commercial information

An agency registration is reviewed manually and does not create an automatic partnership, account, credit facility or guarantee of availability. If the application is accepted, commercial terms and confidential net rates may be sent directly to the verified professional contact. Agency information is not sold or published.

Private booking and voucher records

For a requested or confirmed service, authorized site administrators may create a private booking record containing the booking reference, agency and traveler contacts, itinerary, service date and time, passenger and luggage details, vehicle, child-seat or assistance requests, driver details, confidential commercial terms, journey notes and internal operating notes. These records are used only to prepare, coordinate and document the service and are not publicly searchable.

Service providers and transportation operators

Information necessary to organize a requested service may be shared with VIP IN LIMO Società Cooperativa and/or other duly authorized NCC transportation operators, as well as technical providers that support the operation and security of this website. We do not sell your personal information.

Private Guest App and verified review invitations

For a confirmed service, we may create limited signed Guest App access connected with the booking reference, service date and an optional private traveler or agency label. Before and during the service, the Guest App may display selected journey and contact details. Private journey details close after the service, while review access may remain available until the invitation expires. The invitation record contains its status, expiry date, access count and most recent access time; it does not store the visitor's IP address or filter access according to whether the intended feedback is positive or negative. A guest may optionally save the journey on their device or install the browser app. That access is stored locally in the guest's browser, can be removed by the guest, and private Guest App pages are not intentionally cached for offline use.

Legal basis and retention

We process information to respond to your request, take steps connected with a potential or confirmed service, comply with legal obligations, and pursue legitimate interests related to customer service and website security. Information is retained only for as long as reasonably necessary for these purposes and applicable legal requirements.

Your rights

Depending on applicable law, you may request access to, correction of, deletion of, or restriction of your personal information, or object to certain processing. You may also have the right to data portability and to lodge a complaint with the competent data protection authority.
